Procedures for Applying for a Weinstein Summer Grant


Student Applicants

The Office of International Education offers grants to assist in covering the cost of airfare for students’ summer international research or international internship experiences. These grants are intended to foster and support a wide range of innovative ideas and activities that will enrich applicants’ knowledge and appreciation of other cultures, contribute to the international identity of the University of Richmond, and productively engage the community and organization where the project will be located.  Grants will be awarded for international internships or for original research proposals that preferably build on students’ previous experience and knowledge.  Student athletes who are unable to study abroad during the academic year may also apply for airfare costs for summer international study.

Staff and Faculty Applicants

For staff and faculty, the application period for Weinstein Summer Grants opens on Nov. 1, 2016 and closes on Feb. 13, 2017. Staff and faculty applications are to be submitted via GatewayAbroad (see the "Apply" section on the left).

Staff and faculty who plan to apply for a Weinstein Summer Grant are strongly encouraged to attend a Weinstein Grant Info Session. The Info Sessions will be held in the International Conference Room. If you would like to apply for a Weinstein Grant, but are unable to attend one of these info sessions, you can contact Anthony Russell to arrange a meeting with him to go over the things you will need to know. Weinstein Grant info sessions will be held at the following times this academic year:

  • Tue., Nov. 8, 2016 at 2:00 p.m.
  • Thu., Dec. 15, 2016 at 12:00 p.m.
  • Thu., Jan. 26, 2017 at 3:00 p.m.

Staff and faculty applicants with limited or no knowledge of the country relevant to their project are strongly encouraged to meet with a Study Abroad advisor (listed below) regarding the country to be visited prior to submitting an application. Please plan your meeting with the advisor at least one week prior to the application deadline date; otherwise, they may not be available. In addition, when e-mailing the advisor for an appointment, please send them: 1) the days and times you're available to meet, 2) the name of the country where you'll be traveling, and 3) the title of your project.

If a project involves the use of human or animal subjects, final approval of the Institutional Review Board for Protection of Human Subjects or Institutional Animal Care and Use Committee must be granted before an award will be made.

A subcommittee of the Academic Committee for International Engagement will review submissions and award the grants. All applicants will be notified in writing regarding the final status of their application.

Staff and faculty, if, after being notified of your award, the location(s) or basic description of your project changes or if sources of additional funding are made available to you that exceed your anticipated expenses for this project, you must submit a written explanation of the changes to Anthony Russell so the Weinstein Grant sub-committee can re-approve your project. Failure to do so may result in denial of reimbursement of your expenses. Students, please follow the guidelines as contained in your award letter regarding such circumstances.

Upon completion of the project, staff and faculty grant recipients must submit a Final Report (including a brief abstract) containing: a summary of what was accomplished during the period of the grant and specific plans to expand the international character of UR – to Shani Buchholz. If possible, recipient should also submit a photograph of themself in-country. These will be posted on International Education’s website later. These reports must be submitted within 30 days of recipient's return to campus.

Faculty and Staff Weinstein Summer Grants are reimbursement-based grants. Grant recipients must submit receipts for airfare, accommodations, and ground transportation to Shani Buchholz in the Office of International Education. Receipts smaller than 8.5" X 11" must be taped (NOT STAPLED OR GLUED) to blank sheets of paper. If receipts have been stapled or glued, they will be returned to the recipient for the errors to be corrected.

Receipts must be sent to Shani within 30 days of recipient's return to campus. Please print your name and UR ID number on each page of receipts you submit.

NOTE that Weinstein Grants may not be used to pay for alcoholic beverages. Additionally, Weinstein Grants are only for the recipient's expenses. For any receipts in which the recipient paid for others' expenses, the recipient must indicate on the receipt what charges were his/hers. Reimbursable expenses for faculty and staff include:

  • Reasonably-priced economy class transportation to and from destination country
  • Public transportation (bus / subway) while in country (taxis for use in emergency situations and with appropriate justification)
  • Reasonable economy-class accommodations

Food expenses will be handled based on per diems, rather than individual receipts. Therefore, grant recipients do not need to submit receipts for food purchased abroad. Rather, recipients will receive the daily Meals & Incidental Expense rate (the “M & IE Rate”) that the State Department indicates is the per diem for the area of the world to which the recipient travelled. Recipients must print out a screen shot of the State Department’s website showing the per diem amount and submit it along with their other receipts. If you have questions regarding per diems, please consult the Controller's website.

All funds not used within 30 days of the recipient's return to campus will revert to the originating grant account.
